IdeaiLabs, LLC (“Company,” “we,” “us,” or “our”) operates the FluentAI platform at fluentai.ai (the “Service”). This Privacy Policy explains what personal information we collect, how we use it, with whom we share it, and the choices available to you. By using the Service, you agree to the collection and use of information as described in this Policy.

1. Scope

This Policy applies to all users of the FluentAI platform, including visitors, free-tier users, and paid subscribers. It does not apply to third-party services we link to or integrate with; those services are governed by their own privacy policies.

2. Information We Collect

2.1 Account Information

When you create an account via Google OAuth, we receive the following from your Google profile:

  • Full name
  • Email address
  • Profile image

We use this information to create and manage your account, personalize your experience, and communicate with you. We do not collect payment card data directly — all payment information is handled by Stripe, Inc.

2.2 Learning Activity Data

We collect data about how you interact with Platform content, including:

  • Modules and lessons accessed and completed;
  • Quiz and exercise scores and responses;
  • Learning progress metrics and streak data;
  • Bookmarks and saved content preferences; and
  • Prompt submissions and AI-generated outputs created during exercises.

This data is associated with your account and is used to track progress and personalize your learning experience. It is not shared with third parties for their independent use.

2.3 Technical and Usage Data

When you access the Service, we and our service providers may automatically collect:

  • IP address and approximate geographic location;
  • Browser type and version, operating system, and device identifiers;
  • Pages visited, features used, and actions taken on the Platform;
  • Referring URLs and session duration; and
  • Error logs and diagnostic information.

This data is used for security monitoring, analytics, and service improvement.

2.4 Communications Data

If you contact us by email or through the Platform, we retain your messages and contact information to respond to your inquiry and improve the Service.

2.5 Beta Feedback

During the Beta Period, we may collect structured feedback through surveys, interviews, or email, including your name and organization if voluntarily shared. See Addendum A of our Terms of Service for details on how beta feedback may be used.

3. How We Use Your Information

We use the information we collect to:

  • Create and maintain your account and verify your identity;
  • Deliver, personalize, and improve the educational content and features of the Platform;
  • Track and display your learning progress;
  • Process subscription payments and manage billing;
  • Send transactional emails, including account confirmations, billing receipts, and progress summaries;
  • Send optional newsletter and product update communications (you may opt out at any time);
  • Generate anonymized and aggregated usage statistics for internal analytics and product development;
  • Detect, investigate, and prevent fraudulent transactions, security incidents, and other prohibited activities;
  • Enforce our Terms of Service and other policies; and
  • Comply with applicable legal obligations.

We will not use your personal information for purposes materially different from those described above without your consent or as otherwise required by law.

4. Legal Basis for Processing (EEA and UK Users)

If you are located in the European Economic Area or the United Kingdom, our legal basis for processing your personal information is:

  • Contract performance — to provide the Service you have signed up for;
  • Legitimate interests — to operate and improve the Platform, prevent fraud, and ensure security, where those interests are not overridden by your rights;
  • Legal obligation — to comply with applicable laws; and
  • Consent — where we have requested and you have provided consent (e.g., marketing emails).

5. How We Share Your Information

We do not sell your personal information. We may share your information in the following limited circumstances:

5.1 Service Providers

We share information with trusted vendors who help us operate the Service:

  • Google LLC — OAuth authentication
  • Stripe, Inc. — payment processing and billing management
  • Vercel, Inc. — platform hosting and performance analytics
  • Neon, Inc. — managed PostgreSQL database hosting

Each provider processes your data only as necessary to deliver their services and is bound by confidentiality and data processing obligations consistent with applicable law.

5.2 LLM API Providers

Certain Platform features generate AI-assisted content using third-party LLM APIs. Content you submit to AI-powered features may be processed by these providers subject to their privacy and data usage policies. We do not intentionally transmit sensitive personal information (such as government ID numbers, financial account details, or health records) through LLM integrations, and you should avoid submitting such information in AI-powered features.

5.3 Legal Compliance and Protection

We may disclose your information if required by law, regulation, or valid legal process (such as a court order or subpoena), or if we reasonably believe disclosure is necessary to: (a) protect the rights or property of IdeaiLabs, LLC; (b) prevent or investigate suspected fraud or security incidents; or (c) protect the safety of any person.

5.4 Business Transfers

If IdeaiLabs, LLC is involved in a merger, acquisition, asset sale, or other business combination, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.

5.5 Aggregated and De-Identified Data

We may share aggregated, de-identified, or anonymized data — from which individual identity cannot reasonably be derived — with third parties for research, analytics, or other purposes.

6. Cookies and Local Storage

6.1 Essential Cookies

We use session cookies strictly necessary for authentication and secure account access. These expire when you close your browser or log out and cannot be disabled without impairing core Platform functionality.

6.2 Local Storage

We use browser localStorage for non-sensitive preferences such as learning streaks, bookmarks, and UI settings. This data remains on your device and is not transmitted to our servers unless you are logged in.

6.3 Analytics Cookies

We may use analytics tools (such as Vercel Analytics) that employ cookies or similar tracking technologies to collect aggregated usage data. These do not identify you individually.

6.4 No Advertising Cookies

We do not use advertising cookies and do not permit third-party advertising networks to track you on our Platform.

6.5 Cookie Management

You may control or disable cookies through your browser settings. Disabling essential cookies may affect your ability to log in and use the Service.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. We also retain data as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.

If you request deletion of your account, we will delete or anonymize your personal information within 30 days, except where retention is required by law or legitimate business purpose (such as fraud prevention or financial recordkeeping).

8. Your Privacy Rights and Choices

Depending on your jurisdiction, you may have the following rights with respect to your personal information:

  • Access — Request a copy of the personal information we hold about you.
  • Correction — Request correction of inaccurate or incomplete information.
  • Deletion — Request deletion of your account and associated personal data.
  • Portability — Request a machine-readable copy of your data in certain circumstances.
  • Opt-Out of Marketing — Unsubscribe from promotional emails at any time via the “Unsubscribe” link in any such message or by contacting us directly.
  • Restriction or Objection — In certain circumstances, request that we restrict or stop processing your data.

To exercise any of these rights, please email support@ideailabs.com with the subject line “Privacy Request.” We will respond within 30 days. We may need to verify your identity before processing your request. We will not discriminate against you for exercising your privacy rights.

9. Children’s Privacy

The Service is not directed to individuals under the age of 18, and we do not knowingly collect personal information from minors. If we become aware that we have collected personal information from a person under 18 without verified parental consent, we will delete that information promptly. If you believe we may have information from or about a minor, please contact us.

10. Data Security

We implement reasonable technical and organizational measures to protect your personal information from unauthorized access, use, disclosure, alteration, or destruction, including encrypted data transmission (TLS/HTTPS), access controls, and secure hosting.

No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security. If you become aware of any security vulnerability or incident, please notify us promptly at support@ideailabs.com.

11. International Data Transfers

IdeaiLabs, LLC is based in the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction. By using the Service, you consent to this transfer. Where required by law, we take appropriate steps to ensure adequate protection of transferred data, including through data processing agreements with our service providers.

12. U.S. State Privacy Rights

Residents of certain U.S. states (including California, Virginia, Colorado, and Texas) may have additional privacy rights under applicable state law, including the right to know what personal information is collected, the right to opt out of the sale of personal information, and the right to non-discrimination for exercising privacy rights.

13. Third-Party Links and Integrations

The Platform may contain links to third-party websites, tools, or resources. We are not responsible for the privacy practices or content of those third parties. We encourage you to review the privacy policies of any third-party services you access through the Platform.

14. Changes to This Privacy Policy

We may update this Policy from time to time. If we make material changes, we will notify you by email and update the “Last Updated” date above. Your continued use of the Service after the effective date constitutes acceptance. If you do not agree with material changes, please stop using the Service and request deletion of your account.
